Removal is manual, and because Cleanlist sources data in real time from third-party providers a record may be re-sourced later. Sequences keep a workspace unsubscribe list: the unsubscribe link (which you insert) or Inbox → Unsubscribe stops every sequence for that address for good. Cleanlist does not own a contact database. It assembles each record on demand from its 25+ contracted data providers, credited at cleanlist.ai/data-sources, and any privacy or removal request can go to privacy@cleanlist.ai, where Cleanlist acknowledges it within 2 business days.

This page covers GDPR and your rights, how to remove your data, what to do when a prospect asks how you got their details or opts out, unsubscribes in Sequences, how Knowledge content is stored, and how your data is secured.

GDPR & your rights

Cleanlist is committed to GDPR and other applicable privacy laws.

  • Data we process: business contact data from contracted data providers (see the data sources page (opens in a new tab)), processed in accordance with GDPR. Our data providers support GDPR and CCPA compliance.
  • Your rights: access, rectification, erasure, restriction, objection and portability.
  • Exercising your rights: email privacy@cleanlist.ai. We acknowledge within 2 business days and process your request in line with applicable law.
  • Your responsibilities as a Cleanlist user: comply with local privacy law, honor opt-outs, include an unsubscribe option in your outreach (in Cleanlist Sequences you add it yourself, see below), and don't use the data unlawfully.

How to remove your data

  1. Submit a request: email privacy@cleanlist.ai with your name, the email address(es) to remove, your LinkedIn URL (if any), and your request.
  2. What happens next: we acknowledge within 2 business days, process your request in line with applicable law, then confirm completion. Removal is a manual process.

Re-sourcing caveat

We remove your data from Cleanlist's systems. Cleanlist's enrichment and lead lists have no prospect-level "do-not-enrich" block, and because Cleanlist sources data in real time from third-party providers, the same record may be re-sourced from those providers in the future. For comprehensive removal, you may also need to contact the underlying data providers directly.

If a prospect asks how you got their data

This guidance is for Cleanlist users whose prospect has reached out:

  • Explain honestly that the contact data was sourced from business contact data held by Cleanlist's contracted data providers (see the data sources page (opens in a new tab)).
  • Offer to remove them from your outreach and to add them to your do-not-contact list.
  • Direct any formal removal requests to privacy@cleanlist.ai.

If a prospect asks to be removed

  1. In Cleanlist Sequences: open their conversation in Inbox and click Unsubscribe ("Unsubscribe (name)?"). Their address goes on your workspace's unsubscribe list: every running sequence for that address stops, and it can't be enrolled again.
  2. In your lead lists: delete them from the lists where they appear. Lead lists and enrichment don't check the sequence unsubscribe list, so this step matters if you export or reuse the list.
  3. In other tools: add them to the do-not-contact list of any other email or sequencing tool you use, and to your CRM if it isn't connected.
  4. Formal requests: point them to privacy@cleanlist.ai for removal from Cleanlist's systems.

Unsubscribes in Sequences

Cleanlist Sequences keep an unsubscribe list for your whole workspace:

  • The unsubscribe link is not added automatically. In an email step, use Insert variable → Email → Unsubscribe link, which adds {{unsubscribe_link}} to the message. It renders as an "Unsubscribe" link and can only go in an email's message. Cleanlist adds no footer or unsubscribe header of its own.
  • When someone clicks it, or you click Unsubscribe in the Inbox, their address is added to the list permanently. Every active or pending sequence for that address stops ("Stopped: unsubscribed"), and enrolling them again is blocked ("Unsubscribed"). The link keeps working even if Sequences is later turned off for your workspace.
  • CRM opt-outs (HubSpot or Salesforce, admins, in the CRM settings Activities tab): with Honor CRM opt-outs on, an email opt-out in your CRM skips email steps, Do Not Call skips call tasks, and both together stop the run ("Stopped: opted out in CRM"). With Write unsubscribes to CRM on, a Cleanlist unsubscribe also sets the email opt-out in your CRM.
  • Outside sequencers: when an agent adds people to a Lemlist, Outreach or Salesloft sequence, anyone unsubscribed in Cleanlist Sequences is skipped.

How to build and send sequences: Build a sequence.

Your Knowledge data

Knowledge is the library of files, web pages, Google Docs, Notion pages and Fathom meeting notes that Clu and your agents search (Pro, Enterprise and the Pro trial).

  • Who can change it: only organization admins can add, pause, sync or remove sources. Everyone in the workspace can see the list of sources.
  • Storage: uploaded files are kept in private storage under generated IDs, not your file names. Extracted text and search passages are stored per organization and are only searchable inside your organization, by Clu and by the agents you allow.
  • Processing: to make text searchable it is turned into search embeddings by a third-party AI model provider. Document text is never sent to Cleanlist's product analytics.
  • Meeting notes: from Fathom, Cleanlist stores each meeting's title, date, duration, host, attendees, summary, action items, topics, keywords and a link back to Fathom. It does not store transcripts. Connection tokens for Fathom and Notion are encrypted at rest.
  • Web pages: Cleanlist reads only public pages. Website crawls respect robots.txt and identify themselves as CleanlistAgents.
  • Deleting: Remove takes a source out of search at once, then deletes its files, extracted text and search passages. Disconnecting Fathom or Notion on the Integrations page also removes their synced content.
  • Credits: adding, storing and syncing Knowledge costs no credits. Knowledge has no public API or MCP access.

LinkedIn accounts for Sequences

When you connect LinkedIn for sequence steps (Settings → Senders → LinkedIn → Connect LinkedIn), "Your LinkedIn email and password are not saved. They're only used once to sign in to LinkedIn and connect the account." The steps then run as your own account, within daily limits.

Data security & data sale

  • Encryption: your data is encrypted in transit (TLS) and at rest. The app is served over HTTPS/TLS.
  • Selling data: Cleanlist does not sell your data.
  • Reporting: report security issues to security@cleanlist.ai; for anything else, use support@cleanlist.ai.
